Our view on privacy and the protection of your personal data

In order to provide you and the organization you work for with the best possible support, paraDIGMA employees need certain information about you. This information is confidential. paraDIGMA therefore strictly ensures that your information is protected and that only authorized persons can access it. We understand that you may want to know more about how we have arranged this. The protection of your personal data is central to everything we do. For example, the paraDIGMA group has appointed a Data Protection Officer who ensures that the paraDIGMA group acts in accordance with the applicable privacy legislation. In our privacy and cookie statement, we explain who is allowed to view your data, how we process your data, how we store it, and how long it is stored.

What personal data do we process and for what purpose do we process your data?

ParaDIGMA has data on every employer who is a customer of one of our labels. We also have data on every absent employee who is employed by this employer or on employees who have been absent in the past (but only during the period that the employer was a customer of ours). This may also apply to your data. A subdivision can be made into three types of data:

  • Your employer's details, such as the name of the organization, address details, industry, and contract number;
  • Information about yourself, such as your name, address, gender, and date of birth;
  • Confidential information such as your social security number, sick leave reports, and the results of consultations with your employer, healthcare providers, and the UWV. Personal information from your general practitioner or specialist may also be included, but only if you have given your consent for this information to be provided to paraDIGMA.

The various labels within the paraDIGMA group, such as De Arbodienst, PSION, Resolu, and PDG Health Services, use employees of paraDIGMA groep B.V. for support services. These include front and back office and administrative tasks. The front and back office of paraDIGMA group B.V., like the medical secretariat, work under the delegation of tasks from a company doctor. This means that the employee in question may process your medical information in the context of absenteeism support or preventive services.

ParaDIGMA may therefore use your personal data for purposes such as ensuring good working conditions at your employer, providing support in the event of sick leave, reintegration, and to comply with our legal obligations. We may do this on behalf of your employer, with your consent, but we may also have a legitimate interest or be required to comply with legal obligations.

We also process personal data when you visit one of our locations. This can happen in various ways:

  • Through the use of camera images. Naturally, only a limited number of colleagues have access to these images in the course of their work. Furthermore, they only view the camera images if there is a specific reason to do so, for example, if an incident has occurred or to verify the accuracy of a complaint or liability claim that has been received.
  • Through visitor registration. When you report to the front office at one of our locations, we register your name and your arrival and departure times. We process this information to record the correct course of an appointment and to be able to act appropriately in the event of an emergency.

How does paraDIGMA store your data and for how long?

Your data is stored securely in our own digital administration and/or absence management system, with a separate section that is only accessible to the relevant professional. This ensures that we can quickly look up or modify information. The absence management system is only accessible to certain employees of the paraDIGMA group. They require personal authorization to view the parts of a file for which they are authorized. The absence system can be linked to other systems to a certain extent, for example for administrative matters such as passing on sick reports from your employer to paraDIGMA. However, there is no link to the medical part of the system.

It is possible that information about you or your employer is stored on paper. This information is kept by paraDIGMA in a closed, secure archive.

The medical section of your occupational health file is subject to a statutory retention period of 20 years. Other personal data is generally retained for up to two years after termination of employment or until the data is no longer necessary for our legitimate purposes. Once the retention period has expired, the data will be deleted from the file as soon as possible.

We are legally required to retain financial data for seven years from the end of the calendar year.

We store camera images for a maximum of four weeks. We only store visitor registration forms on the same working day.

Who can access your data and what personal data do we share with third parties?

Not every paraDIGMA employee is authorized to view your data. The professional who is assisting you can view your medical data. In addition, other employees who work under the responsibility of the professional may view certain data about you. During their contact with you, they collect data about, for example, your sick report. This enables the professional to do his or her job better.

The professional may call in experts. In such cases, the information that the expert needs to perform his or her work may be shared with him or her, provided that you have given your consent. In addition, our front and back office staff have access to your data, for example to report you sick.

Strict rules apply to the provision of your data to your employer. Only limited information may be provided to your employer. This only concerns information that the employer needs to be able to organize your reintegration, such as the professional's conclusions about your ability to resume work and the support agreements made with you. In addition, your employer will receive general information about absenteeism within the organization. This information cannot be used to determine the reason for an individual employee's absenteeism. In accordance with the guidelines of the Dutch Data Protection Authority, we do not provide medical information to your employer.

In addition, it may be necessary for us to provide certain information about you to the Employee Insurance Agency (UWV), absenteeism insurers, and the Dutch Center for Occupational Diseases. If we deem it necessary to provide information to other parties, we will only do so on behalf of your employer.

ParaDIGMA group only shares your personal data with third parties when permitted by current legislation. This means that we have a legal basis for doing so, we engage the third party as a supplier for the purpose of providing services, or the third party is part of the paraDIGMA group. The parties that may process personal data on our behalf or on your behalf are:

  • IT suppliers and service providers
  • Payment service providers
  • Cookie providers
  • Telecom providers
  • Engaged consultants and intermediaries

paraDIGMA group may further share your personal data with controllers that are part of the paraDIGMA group, on the basis of a legitimate interest for internal administrative purposes within the group, or if this is necessary to perform the agreement with you. Within the paraDIGMA group, your personal data will be anonymized for analytical purposes. The foregoing means that your personal data may be accessible to employees of other entities within paraDIGMA. The employees of these entities will only have access to your personal data to the extent necessary for the performance of their duties. Naturally, all employees will handle your data with care and other entities will not use the personal data for other purposes without a legal basis for doing so.

How do we protect your personal data?

paraDIGMA group takes appropriate technical and organizational measures with regard to the processing of personal data, against loss or any form of unlawful processing (such as unauthorized access, damage, alteration, or disclosure of personal data). Examples of measures we have taken include authorizations we have set up and two-factor authentication to access our systems.

Processing personal data via the contact form on our website

When you send an email, submit a completed contact form, or contact us in any other way, you are accepting our offer to communicate with us. We use the information you send us in your email or via the form to contact you. We store this data for as long as we deem necessary for this communication.

We use reCAPTCHA to prevent abuse of our registration forms by sending spam. By indicating that you are not a robot, we check:

  • How quickly the form is completed;
  • What mouse movements you make while filling in the form;
  • The IP address of the person filling out the form.

This data is analyzed by Google LLC. Google uses this to determine whether they are dealing with a legitimate visitor or a robot. A real visitor then only has to click on a checkbox to confirm that they are not a robot. The message can then be sent to the recipient via the form. The Thinking Differently Symposium and other meetings

When you register for one of our events, such as the Anders Denken Symposium, via our website, we process your contact details in order to process your registration for the event and to keep you informed about the event. You can unsubscribe via any email you receive about this. You can also contact us using the contact details at the bottom of this statement.

Newsletter

If you would like to stay informed about new developments, you can subscribe to the paraDIGMA group newsletter. You will receive the newsletter until you unsubscribe. Apply for a job

Have you responded to one of our job vacancies or submitted an open application? If so, we will process your personal data in order to consider your application and prepare for the possible conclusion of an employment contract. For this purpose, we will use your salutation, name, contact details, and address. In addition, we may process your date and country of birth, CV, cover letter, salary indication, availability, a Certificate of Good Conduct, and any references.

We will retain your application details for up to six weeks after the position has been filled. We retain this information so that we can contact you if the position becomes available again during the probationary period. If we are unable to offer you a position at this time, we may, with your consent, retain your application details for an additional year. You can withdraw your consent at any time by sending us an email. If you come to work for us, we will store your application details in your personnel file. This file will be kept for as long as necessary and, with regard to the application details, for up to two years after you start working for us.

The use of cookies on our website

Social media
Our website includes a LinkedIn social mediabutton. Using this button, you can choose to indicate via your own social media account on LinkedIn that you are interested in our products and services or to share our page with your network. This will then be visible to visitors to your personal LinkedIn page. If you click on this button, LinkedIn may place one or more cookies to recognize you. Google Analytics and Google Tag Manager

On our website, we use Google Tag Manager cookies, which enable us to load scripts from other cookies. Google Tag Manager is purely functional and is not used for collecting data.

We also use Google Analytics. This tool helps us gain insight into visitor behavior and improve the user experience based on this information. The information obtained, including part of your computer's address (IP address), is transferred to Google and stored by Google on servers in the United States. The last part of the IP address is not visible and the cookies expire within two years after the session.

We have set up Google Analytics in a privacy-friendly manner, which means that we have laid down agreements on how the collected data is handled. In these agreements, we have not allowed Google to share the information obtained with or use it for other Google services. However, Google may provide information to third parties if Google is legally required to do so, or insofar as these third parties process the information on Google's behalf. Google claims to adhere to thePrivacy Shieldprinciples and is affiliated with the Privacy Shield program of the US Department of Commerce. Until recently, affiliation with the Privacy Shield program meant that there was an adequate level of protection for the processing of any personal data. However, withthe ruling of the Court of Justice of the EU on July 16, 2020(Schrems II case), this Privacy Shield has been declared invalid. We are currently investigating how we can best overcome this. We take privacy very seriously and are doing everything we can to find a suitable solution. What privacy rights do you have?
